Prepare for the challenges that come from the departure of an expert

For those who will succeed the expert's departure, it is crucial to be able to transmit to them the knowledge and experience that makes the company what it is.

Being able to accompany the transmission of expert knowledge is an effective management tool for the assurance of the continuity of services and tasks that the expert performs for the company. We consider our efforts to be rewarding for both the departing expert and the trainers of the "experts of tomorrow"

Over the years the consultants at Bassetti have gathered a great deal of experience in this field which has directly influenced the methods that are used to enhance the knowledge of a company's expert. This method allows for the organization of the process behind an expert's departure in 3 stages:

  • Exploration of the expertise
  • Thorough diagnosis and a development of an action plan
  • Transmission of activities and capitalization
Main Challenges
  • Know how to anticipate the departure of strategic positions that possess rare knowledge.
  • Ensure a successful transition of knowledge: Encourage senior experts and younger, less-experienced workers to work together
  • Capitalize upon and distribute key knowledge
  • Prioritize transitional actions by missions that are the most critical
  • Recruit and train future experts on their roles and responsibilities
  • Ensure the continuation of services after the departure of an expert
  • Perpetuate the knowledge of the expert in the company
  • Promote the integration of the expert's replacement(s)

Identify the missions of the expert:

  • Conduct interviews and collect information

Identify the expert's contributions:

  • Collect and analyze information
  • Construct an action plan
  • Concentrate time and efforts on the critical elements that are to be transmitted
  • Capitalize on the knowledge

Capitalize upon and distribute the knowledge through different levels of support:

First off, encourage the potential "experts of tomorrow" to contact and interact with the experts of today. The company may choose to provide tools to better disseminate knowledge: a database, focused synthesis, historical selection, a repository of useful practices, and lessons learned management system. Furthermore, these tools can be combined with certain knowledge creation processes such as learning processes (training, companionship, etc.) and collaborative processes (technical communities, electronic portals, etc.).

The accompaniment of expert's departure:

  • Integration of the replacement

How to capitalize and transfer knowledge and skills with the departure of an expert?

The context:

The company, Bassetti accompanied the retirement of an international expert in the gas analysis division. They ensured an effective transmission of all of his data, information, and knowledge, from both documents and databases. They also helped to formalize a certain amount of his critical knowledge and transfer that to the appropriate profiles to ensure the continuity of service on his missions.

Assessment according to Martine Carre, Head of the gas analysis division:

“Beyond the departure of the expert in question, the diagnosis showed that it was necessary to propose action plans for the transmission and execution of the return on experience. For more than twenty years the expert maintained his position, and while there his individual mind supplied valuable information and strategies to the organization and to the efforts of capitalization.

The efforts that were established to organize the management of the technical expertise and to capitalize on this expertise across several departments have emerged as a necessity. The project has brought the service to work as a professional reference for the analysis that requires the structuring of various concepts, content aggregation on these concepts, and the organization of a community of practice of analyzers that promote the exchange and cross-fertilization.

The accompaniment of Bassetti through this “damage control" phase has limited the overall negative impact of the departure of the expert and proved to be a methodical, organized, and objectified action for transmission.

The expert was properly valued and his colleagues were reassured.

The results of the analysis were presented to our management and they were very satisfied. We now plan to go ahead and start two more similar projects with Bassetti.”

The advantages of Bassetti according to Air Liquide:

  • Neutrality of the consultant
  • Coordination of the project
  • A pragmatic and adopted approach to the proposed solutions
  • The human aspect that has not been overlooked: the expert left with the feeling that his expertise had been properly valued
  • Compliance with deadlines
  • The establishment of successive pieces
  • Availability of the company
  • The coherence of the employed methodology: establish the list of missions before considering the priorities
